Establishes communication (verbal and written) with clients and candidates in a proper and professional manner both in English and Spanish.
Contacts candidates and clients, as requested.
Schedules candidate appointments for interviews and schedules client appointments.
Attends client meetings to furnish information and take notes.
Prepares client and candidate presentation packages.
Edits candidate evaluations, assessments, resumes and other documents.
Administers profile assessments
Edits and updates electronic candidate, client, job order and employee files in our CRM and ATS – Applicant Tracking System.
Elaborates job orders.
Responsible for retrieving documents and correspondence by organizing and maintaining files.
Responsible for arranging meetings.
Prepares expense reports.
Prepares, elaborates, and places electronic advertisements.
Prepares activity reports.
Coordinates Trade Show participation.
Elaborates and edits letters and reports.
Updates and performs data entry in our CRM and ATS.
Gathers interview feedback and checks and verifies candidate references.
Coordinates special projects.
Conducts other duties as assigned by VP of Executive Search or Executive Search Managers., and/or Administrative Manager.
Position reports to VP of Executive Search
Required Experience and Skills:
100% fluency in English and Spanish
Bachelor’s degree or A.A. degree is highly desirable.
3 + years’ experience in Project Coordination, Customer Service, and/or high paced Administrative Assistance in a fast-paced professional environment where dealing with internal or external clients and providing excellent service is the highest priority.
Exposure dealing with multi-cultural environments (Mexican-American).
Must have a successful Customer Service experience, advanced administrative experience and skills.
Excellent phone etiquette.
Requires solid knowledge of social media, internet research, and MSOffice: Word & PowerPoint and basic EXCEL. CRM and ATS is a plus.
Must have good writing skills.
Must have excellent communication and people skills.
Requires excellent organizational and planning skills, multi-tasking, attention to detail, prioritizing and follow-up skills.
Project coordination experience helpful.
Candidates must be currently eligible to work in the United States for any employer.
