Key Job Responsibilities:

  • Establishes communication (verbal and written) with clients and candidates in a proper and professional manner both in English and Spanish.
  • Contacts candidates and clients, as requested.
  • Schedules candidate appointments for interviews and schedules client appointments.
  • Attends client meetings to furnish information and take notes.
  • Prepares client and candidate presentation packages.
  • Edits candidate evaluations, assessments, resumes and other documents.
  • Administers profile assessments
  • Edits and updates electronic candidate, client, job order and employee files in our CRM and ATS – Applicant Tracking System.
  • Elaborates job orders.
  • Responsible for retrieving documents and correspondence by organizing and maintaining files.
  • Responsible for arranging meetings.
  • Prepares expense reports.
  • Prepares, elaborates, and places electronic advertisements.
  • Prepares activity reports.
  • Coordinates Trade Show participation.
  • Elaborates and edits letters and reports.
  • Updates and performs data entry in our CRM and ATS.
  • Gathers interview feedback and checks and verifies candidate references.
  • Coordinates special projects.
  • Conducts other duties as assigned by VP of Executive Search or Executive Search Managers., and/or Administrative Manager.

Position reports to VP of Executive Search

The Candidate

Required Experience and Skills:

  • 100% fluency in English and Spanish
  • Bachelor’s degree or A.A. degree is highly desirable.
  • 3 + years’ experience in Project Coordination, Customer Service, and/or high paced Administrative Assistance in a fast-paced professional environment where dealing with internal or external clients and providing excellent service is the highest priority.
  • Exposure dealing with multi-cultural environments (Mexican-American).
  • Must have a successful Customer Service experience, advanced administrative experience and skills.
  • Excellent phone etiquette.
  • Requires solid knowledge of social media, internet research, and MSOffice: Word & PowerPoint and basic EXCEL. CRM and ATS is a plus.
  • Must have good writing skills.
  • Must have excellent communication and people skills.
  • Requires excellent organizational and planning skills, multi-tasking, attention to detail, prioritizing and follow-up skills.
  • Project coordination experience helpful.
  • Candidates must be currently eligible to work in the United States for any employer.
